  3. Click “Install” and authorize the app
  4. Select the boards where you want to enable Task Automator

Your First Automation

Creating a Simple Trigger

Let’s create a basic automation that moves items to a “Done” group when their status changes to “Complete”:

  1. Open a board with Task Automator installed
  2. Click the Automate button in the top menu
  3. Click + Create Automation
  4. Select “When status changes to…” as your trigger
  5. Choose “Complete” from the status dropdown
  6. Select “Then move item to…” as your action
  7. Choose the “Done” group
  8. Click Save

Using Conditional Logic

For more complex workflows, add conditions to your automations:

  1. Create a new automation or edit an existing one
  2. Click + Add Condition
  3. Set your condition (e.g., “Priority is High”)
  4. Add different actions for true/false outcomes

Examples

Auto-Assignment by Priority

When: Priority changes
Then:
IF Priority = High → Assign to Team Lead
IF Priority = Medium → Assign to Senior Developer
IF Priority = Low → Assign to Junior Developer

Daily Status Report

When: Every day at 9:00 AM
Then: Send Slack message with all items due today

Deadline Reminders

When: Due date is 1 day away
And: Status is not "Complete"
Then: Send reminder to assignee

Best Practices

  • Start simple: Create basic automations first, then add complexity
  • Test thoroughly: Use a test board before deploying to production
  • Document your workflows: Name your automations clearly
  • Monitor performance: Check automation logs regularly

Troubleshooting

Automation Not Running

  • Check that the trigger conditions are being met
  • Verify the board has the app installed
  • Check for conflicts with other automations

Actions Failing

  • Ensure all required columns have values
  • Check that items aren’t locked or archived
  • Review error logs in the automation settings
